Why should I use a database instead of a spreadsheet?
Spreadsheets are wonderful tools, however if you are tracking more than names and addresses, it is difficult to track, search and report on details that are often essential to managing your charity's donors and prospects.  Databases allow you to easily manage seperate records, track multiple gift entries per person, print contribution receipts, letters, envelopes and labels.  Sharity Suite allows you to easily track related records as well, such as volunteers (along with their availability, talents, and hours worked), pledges, orders, requests, reporting, letter merging, emails, and more.  And within Sharity Suite, multiple password levels keep your records secure while enabling your volunteers or team members to access different types of data, with or without the ability to add, change or delete records.  It is all up to you. 

What does the Orders module do?
The Orders section is an efficient way of tracking any type of order, from free information, such as brochures or publications, to tracking the sales of CD's, DVD's, or other charity related items.  Because Orders are integrated with the gift receipting process, the "fair market value" of an item can be deducted from the donation amount while you are entering that donation information, so that the receipt accurately reflects the tax-deductible portion of the donor's contribution.  You can also print invoices, reminders, shipping labels, and shipping reports that list orders that need to be filled.  Orders may contain an unlimited number of items.  You can see orders and the balance for a donor while entering donations, so that donations can be split between "contribution" and "order" right then and there.                               

Can we assign different password authorization levels to different team members or volunteers?
Each Sharity Suite user is assigned a unique user ID and password. There are nine pre-set accounts and passwords available, with various levels of authority.  From Administrative levels to "View and Print only (no $ access) levels, the security structure is in place for you.  You may request additional accounts/passwords if you need them.  See our Custom Options page for more information.

Can you transfer our data into Sharity Suite for us?
For many new Sharity Suite users, we transfer data from existing software into Sharity Suite. We have succesffully transferred data from a wide variety of platforms, but the bottom line is, if data can be exported from your current database into a format such as cvs or .txt (comma-separated text format), .xls or .xlsx (Microsoft Excel format), .tab or .txt (tab-separated text format), .dbf (Dbase III and IV DBF format), .fp7 (FileMaker Pro Format) .xml (XML format), or .mer (Merge Format), then there is a very good chance that it can be imported into Sharity Suite.  If you would like us to import for you, we are happy to review your data format, and then provide a time and cost estimate for you.  Click here to complete a request form.

Will Sharity Suite run on my MAC?
Absolutely!  Sharity Suite runs on both MAC and WINDOWS.  Please see the System Requirements for more information.

I have multiple users (on more than one computer). Why do I need to buy FileMaker Pro?
While Sharity Suite is single-user or multiple-user ready, it is packaged in a "runtime" version.  If you need Sharity Suite to be used on more than one computer, you will need to install FileMaker Pro on each computer that will be running Sharity Suite. 

To share Sharity Suite across a network, so multiple users can work on Sharity Suite at the same time, you will need FileMaker Pro 7 or above on each computer that will have access to Sharity Suite.  Please discuss networking your computers and Sharity Suite with your IT specialist. Sharity Suite’s settings are network (sharing) ready.


For peer-to-peer networking, FileMaker can support up to 9 computers.  FileMaker Server version will be needed to network more than 9 computers (up to 99 computers).


Once networking and FileMaker is installed on each computer, select which computer will be the “Host” computer.  The host computer must have Sharity Suite open in FileMaker in order for others to access Sharity Suite. To open Sharity Suite in FileMakerPro, drag the “Main Menu.SHR” module into the open FileMaker window.  You can also click “Browse” when the FileMaker Quick Start dialog box opens, change Files of Type to All Files, and select Main Menu.SHR.

How long will it take for my team to learn Sharity Suite?

There are several fields that are specifically set up to help track mailings, or you can search by data ranges such as regions, sources, giving levels or nearly any other criteria of your choice.  In Sharity Suite, you may select records base on ANY field that you track data in.
